HURIDOCS is a Geneva-based NGO that helps human rights groups gather, organise and use information to create positive change in the world. We believe your privacy should be respected and your personal data treated carefully.

Through this Privacy Policy we explain which type of information we collect, and how we guard, manage and use your personal data, as well as how you can update, access or delete that information. 

Definitions

HURIDOCS means Human Rights Information and Documentation Systems, International, registered in Switzerland with offices at Rue de Varembé 3, 1202, Geneva, Switzerland.

HURIDOCS Websites means www.huridocs.org, www.uwazi.io, www.right-docs.org and any other website operated by HURIDOCS, which states that this Privacy Policy applies to that website.

HURIDOCS Application/Tool means any digital Application/Tool operated by HURIDOCS, which states that this Privacy Policy applies to that Application/Tool.

Introduction

The HURIDOCS Websites and Applications/Tools, including all information and materials contained on them, are managed by HURIDOCS – Human Rights Information and Documentation Systems, International.

HURIDOCS is committed to ensuring the privacy of all our users. This Privacy Policy governs all pages of the HURIDOCS Websites and the operation of the HURIDOCS Applications/Tools. It does not apply to pages or Applications/Tools hosted or operated by other organisations, including the websites or Applications/Tools of HURIDOCS sections or related organisations or third party sites. The HURIDOCS Websites and HURIDOCS Applications/Tools may be linked to the websites/Applications/Tools of such other parties, but those other sites may have their own privacy policies which apply to them.

Consent

By using any HURIDOCS Website and/or HURIDOCS Applications/Tools, you consent to the terms of this Privacy Policy. HURIDOCS may change the terms of this Privacy Policy from time to time. Your continued use of the HURIDOCS Websites and/or HURIDOCS Applications/Tools will be on the terms of this Privacy Policy as amended from time to time. 

What types of information do we collect and store, and what for?

The type and amount of information we receive and store depends on how you use the HURIDOCS Websites and/or HURIDOCS Applications/Tools. You can access most of the pages on the HURIDOCS Websites without telling us who you are and without revealing any personal information. Our web servers collect anonymous logs during user visits to the HURIDOCS Websites which provide valuable information for improving it in the future.

We may collect personal information (such as your name, address, phone number or e-mail address) on the HURIDOCS Websites or HURIDOCS Applications/Tools, for example, where you express an interest in subscribing to the HURIDOCS newsletter, downloading an Application/Tool’s demo version, sending an inquiry via a contact form, providing survey-based feedback, or donating to HURIDOCS. If you apply for a job position at HURIDOCS we will collect information so that we can process your application and assess your suitability for the role.

We ask you for personal information when using the following HURIDOCS Websites and/or Applications/Tools:

Tools: Uwazi only uses cookies for users that log in into the platform, for example, to upload content into the instance. We might also use third party cookies, on the request of a partner, for example, Google Analytics. We collect IP address information for security reasons and statistical analysis of the traffic, and keep an access log during 3 months. For more details visit the Cookies Policy.

Newsletters: We use Sendinblue as our newsletter platform to keep you updated on our organisation and our projects, therefore the information (email, first name(s), last name(s)) you voluntarily share with us when you subscribe to any of our newsletters (HURIDOCS or Uwazi) is stored on that platform.

You can update your information or unsubscribe at any time by clicking on the Update Your Preferences or the Unsubscribe button at the footer of our newsletters, or by sending us an email to hello@huridocs.org.

Donations: We use DonorBox to receive donations to fund our work, therefore the information you voluntarily share with us when you opt to make a donation to us through DonorBox (email, first name(s), last name(s), credit card data) is stored on that platform.

Surveys: We use surveys to obtain feedback on the Applications/Tools we develop, on trainings and on collaboration. The survey platform used for this is LimeSurvey, and any information shared with us is kept confidential and not shared with any third parties. You can delete or obtain a copy of the information you submitted by sending an email to hello@huridocs.org

Contact Forms: We use contact forms to receive inquiries on HURIDOCS Websites. These contact forms collect the name and email of the sender as well as the message content, and the sender may receive a confirmation email to their email address with the details of their submission. Information submitted through the contact forms may be stored as long as necessary for processing the related inquiries. CiviCRM: We use this customer relationship management (CRM) tool to manage the information of our contacts and organisations we work with, our partners and funders. If you have any question related to the use and management of your information, please contact hello@huridocs.org. 

How do we use information collected?

Your personal information will be retained by HURIDOCS and its service providers in a secure environment. It will be kept confidential, and will only be used in connection with the purposes for which it is submitted, or as otherwise explained on the HURIDOCS Website or HURIDOCS Application/Tool, or as necessary for us to comply with our legal obligations.

For example, personal information submitted for the purposes of making a donation will be used to process that donation, and personal information submitted to get access to one of our tool’s demo version via our Website will be used to action your request and provide you with information about these tools.

Security

We take appropriate security measures, such as enforcing https in our websites, to ensure that we keep your connection secure, accurate and up to date, and that we only keep it for as long as is reasonable and necessary. However the transmission of information over the internet is never completely secure, so while we do our best to protect personal information, we cannot guarantee the security of information transmitted to the HURIDOCS Websites and/or HURIDOCS Applications/Tools.

Sharing of your personal information

  1. Hosting and processing: the HURIDOCS Websites and HURIDOCS Applications/Tools are hosted by third party service providers and therefore any personal details you submit through a HURIDOCS Website and/or HURIDOCS Applications/Tools may be processed by that third party service provider. We may also use other third parties to process your personal details. For example, such third parties may process your personal information to process donations to HURIDOCS on our behalf or process and forward mailing information for users to sign up to our online actions and/or choose to subscribe to our email updates. All of these third party services providers will process your personal information only on HURIDOCS’ behalf and will be bound by strict confidentiality conditions.
  2. Payment processing and fraud: Where submitted, your card details may be disclosed to banks or relevant financial institutions to arrange payments. In the case of a suspected fraudulent transaction, your details may be further disclosed for the sole purpose of performing further checks (for example, disclosure to a credit checking agency).

The disclosure of your personal information discussed above may involve transfer of that information outside of Switzerland and the European Union. Countries outside of Switzerland or the European Union, such as the United States, may not have data privacy laws as strong as those in force in Switzerland and the European Union. 

Use of cookies

A cookie is a text-only piece of information that a website transfers to your computer’s hard disk so that the website can remember who you are. A cookie will normally contain the name of the internet domain from which the cookie has come, the “lifetime” of the cookie, and a value, usually a randomly generated unique number.
